The short version
Sonic Refine processes your audio and video on your own computer. Your files are never uploaded to us. We never see them, store them or send them anywhere.
We collect a small amount of information to run licences, count usage and answer support. That is all. We never sell it.

2. What we collect
What you give us
- Email address — when you create an account
- Payment details — depends how you pay. By card or an online provider, that provider handles it and we only get a transaction reference and the plan you bought; we never see your card number. By bank transfer or mobile wallet, you send us a reference and a screenshot so a person can confirm it, and that screenshot may show your name, account number and the amount.
- Support messages — whatever you send us when you ask for help
What the app sends
- Licence key and device identifier — to check your licence and enforce the device limit
- Your computer's name — the name your computer already reports on a network, so your device list reads "work-laptop" rather than a row of identical entries. Many computers are named after their owner, so this may contain your name. It is used for nothing else, and you can rename your computer if you would rather it did not.
- Usage minutes — how long the media you process is, so we can apply your monthly limit
What we never collect
- Your audio or video, or any part of it
- File names, folder paths or file contents
- Transcripts, or anything spoken in your recordings
- Anything about what your media contains
- Files on your computer that you have not put into the app
- What you do outside our website and app
Processing happens entirely on your machine. The app has no way to send us your media.
3. What we never do
We do not sell your data. We do not give it to advertisers. We do not use it to train AI models. We do not build profiles about you.

We only send marketing email if you ask for it, and every one has an unsubscribe link.
5. Who else sees it
A small number of suppliers:
- Payment processing — where a plan is paid online, that provider. You always see who is taking the payment before you pay. Paying by bank transfer or mobile wallet involves no third party: it comes to us and we check it by hand.
- Email delivery — the provider that sends your licence key, receipts and account emails
- Hosting — the provider running our website and licence server
- File hosting — the provider serving the one-time download of the processing models
We name the role rather than the company so this page stays accurate if we change supplier. Each only gets what it needs to do its job.
We may also hand over information if the law requires it, or to protect our legal rights. If the business is sold, account data may go to the new owner, and we will tell you.
6. Where it is stored
We are based in Pakistan and our servers are in the United States. The suppliers above may process data in the United States or elsewhere.
If you are in the UK or the EEA, that means your data is held outside your region. We say so plainly rather than implying otherwise, so you can decide before you create an account.
7. How long we keep it
- Account data — while your account is active, then 12 months after you close it
- Payment and tax records — 7 years, because tax law requires it
- Payment screenshots — with the order. We keep them because refunding a bank transfer or wallet payment means sending the money back to the account it came from, and the screenshot is the only record of which account that was. Without it we cannot refund you.
- Support messages — 2 years
- Usage counts — 13 months, so you can see your history
8. Your rights
Depending on where you live, you may have the right to see a copy of your data, correct it, delete it, object to how we use it, get it in a portable format, withdraw consent where consent is the basis, and complain to your local data protection authority.
Email support@sonicrefine.com to ask. We usually reply within a few days, and within one month at the latest.
One thing to know: if you ask us to delete your account data, your licence stops working, because we can no longer check it.
9. Security
Data travels over encrypted connections. Passwords are stored hashed, never in plain text, and sensitive settings are encrypted where they sit. Access to customer data is limited to the one person who runs this business.
No system is perfectly secure. If a breach affects your data we will tell you, and the relevant authority, as the law requires.
10. Children
Sonic Refine is not for under-16s and we do not knowingly collect their data. If you think a child has given us data, email support@sonicrefine.com and we will delete it.
11. Cookies
The desktop app uses no cookies.
Our website uses essential cookies to keep you signed in. Where they are switched on, we also use Google Analytics 4 and Google Tag Manager to understand traffic, and those set their own cookies.
12. Changes
We may update this policy. If a change matters we will email you or show a notice in the app before it takes effect. The date at the top shows when it last changed.
